Operations Administrator – 6 month contract Job in Toronto, Ontario Canada

OVERALL PURPOSE

The Operations Administrator, reporting to the Regional Administration Manager, will complete the renewal, eviction, and collection processes for all portfolios within the Rental Operations group. The role will also assist the Operations Training and Administration Coordinator with administration of the AGI and Rent Supplement programs and other projects as required for effective delivery of support to the operating group. The Operations Administrator will use established business processes, systems, and other tools efficiently and effectively in the performance of their work.

KEY RESPONSIBILITIES

  • Prepares and distribute all monthly annual renewals including:
  • Creating lease charges.
  • Determining Resident renewal status.
  • Requesting approval of increases from the Regional Manager.
  • Reviewing AGI applications and orders and making necessary adjustments.
  • Printing, signing, and copying legal increase notices and notification letters.
  • Adjusting pre-authorized payment charges.
  • Mailing completed renewal packages.
  • Manages all eviction files including:
  • Assembling the eviction application package (including all required documents) and forwarding to legal counsel, coordinating with legal counsel and CE team.
  • Charging the Resident’s account, as required.
  • Forwarding requests to the site manager for completion of unit abandonment inspections.
  • Submitting requests for Writ of Possession and/or Writ of Seizure and Sale, as required.
  • Communicating file status and activity to legal counsel in a timely fashion, including closing of file.
  • Advising site staff of final outcome.
  • Manages all collection files including:
  • Preparing the collections worksheet for delinquent past Resident accounts.
  • Completing entries in the system required to close the account.
  • Assembling the collection package and forwarding to the collection agency.
  • Updating the collections worksheet monthly with any rental loss amounts and forwarding updated worksheet to the collection agency.
  • Ensures consistent and accurate application of operating group standards as outlined in business process documentation.
  • Promotes an environment of open communication, cooperation, collaboration and teamwork.
  • Seeks to understand and appreciate the internal and external customer’s perspective.
  • Understands company policies, the Residential Tenancies Act, and governing Municipal Property Standards By-Laws.
  • Communicates concerns with site level service delivery to the RAM.
  • Supports all Green initiatives and seeks opportunities to improve environmental practices.
  • Ensures a healthy and safe work and/or home environment for staff and customers.

Educational and Other Requirements:

Minimum Grade12, relevant post secondary education an asset

Equivalent combination of education and experience may be considered.

Vehicle and Driver’s License

Prior Related Experience:

Minimum two (5) years progressive experience in property management.

Role-Specific Skills and Knowledge:

Knowledge of adult training principles, lease administration, relevant industry legislation, advanced understanding of and proficiency in using Yardi and/or SAP, and MS Office Suite software .
