General Summary
Operational focused role, responsible for coordinating the training programs for clients and perform administrative and office support activities.
Principle Duties and Responsibilities
The role of the Training Administration Coordinator (TAC) is anticipated to be as follows, however this role can be modified during the term subject to GP needs:
- Meets with supervisor to determine training needs.
- Administer classroom rental and coordinate between Instructor & Technical support.
- Set up training sessions and send external links to participants when required.
- Assist with the development of training administration processes.
- Troubleshoot client issues and maintain log.
- Office Phone system maintenance and general administration of voice mail system (password resets, new mailboxes, deleting mailboxes, etc.).
- Schedules courses based on knowledge of identified training needs.Organizes logistics for these sessions (e.g. schedules instructors, facilities, etc).Orders material for classes sends prework when applicable and arranges any other equipment for the classes.
- Maintains course rosters for all scheduled courses and ensures instructors have an up-to-date roster before the course starts.Enters student attendance records into computer database and provides appropriate reports on attendance to supervisor and/or client.
- Maintains records and provides statistical reports to evaluate performance of instructors and monitors progress of trainees.
- Investigates and resolves any client or student complaints. Answers questions from employees and trainers in regards to the course content and schedule.
- Track Instructor expenditures and issue monthly invoices work closely withAccounts Receivable department
- Verifies that any required forms are filled out properly to monitor completion of mandatory training and follow up with employees when required.
- Produces Evaluation report summary as required.
- Enters all attendance sheets into the LMS or other database.
- Assumes responsibility for other initiatives as assigned.
RELEVANT QUALIFICATIONS
- Demonstrated ability to effectively multi-task and prioritize.
- Proficiency in MS Word, and especially Excel.
- High customer focus.
- High initiative and attention to detail.
- Excellent verbal and written communication skills.
- Good planning & organizing skills ability to problem solve in a fast paced environment.
- Knowledge of training industry would be an asset.
- Bilingual, English and French
