We are a young and dynamic local company in Vancouver, BC with a newly established branch in Calgary, AB. We specialize in fresh produce wholesale distribution. We are currently hiring for the following position in our Vancouver head office:
Administration Officer
Reporting to the CFO, the job holder handles day to day office administration duties, leads or participates in corporate projects, and provides back up support for other departments in the Finance Group if needed.
Main duties and responsibilities:
Maintain proper running of office machines, record and report monthly usage
Order and maintain stock of stationeries and supplies
Look after the corporate printing and signage needs
Order, distribute and maintain stock of corporate apparels
Purchase, order and maintain inventory of lunch room supplies
Handle subscriptions, reading materials circulation, and run the companys library
Purchase and maintain furniture and equipment
Co-ordinate with contractors and/or Operations Department for miscellaneous and/or regular services
Order and purchase gifts and flowers for customers, staff, business associates, etc.
Maintain proper running of telephone system, cell phones, and long distance calls
Maintain security such as alarm and security camera
Make travel arrangements for employees
Renew license and memberships, etc. for the company
Arrange meetings and take minutes as needed
Responsible for meeting room allocation and booking
Prepare letters, office memos, faxes, and other correspondence as directed and maintain proper filing for the department
Check bills/invoices for managers approval
Organize and/or assist to organize various corporate activities including major events
Participate in special company projects as required
Maintain staff & visitor ID badges
Publish the employee newsletter and other corporate literature
Any other jobs as assigned from time to time
Job Requirements:
College or university graduate, preferably in a business related discipline
A minimum of 2 years solid related experience
Training or exposure in Office Administration and Business Management is a definite advantage
Fluent spoken and written English
Knowledge of Cantonese and/or Mandarin an asset
Possess good communication, interpersonal, and negotiation skills
Good writing skills and independent correspondence
Computer literate in Microsoft Word, Excel, PowerPoint, and Windows
Ability to translate from English to Chinese a definite advantage
Mature, responsible, reliable, tactful, and self motivated
Able to work independently with minimum supervision
Good business sense and resourceful
Able to observe and follow instructions
Meticulous, careful, and attentive to details
Good memory, and a fast learner
A good team player
