Project Administrative Assistant (Intermediate/Senior) Job in Edmonton T6E5S2, Alberta Canada

The Project Assistant is tasked with supporting the Lead Project Assistant, Project Manager, Project Engineer and the entire project team in their efforts to meet and exceed customer expectations. This front-line role is critical in the deployment of WorleyParsons’ vision: to be the preferred global provider of technical, project and operational support services to our customers, using the distinctive WorleyParsons culture to create value for our customers and prosperity for our people.

Responsibilities:

  • Ensure adherence to WorleyParsons standards (procedures, brands, templates, etc.).
  • Assist Project Manager and team where necessary.
  • Understand nature and need of the discipline and provide support as needed.
  • Set up of projects including project award sheets, file index, filing and close out procedures.
  • Meetings book conference rooms, equipment, send invites, arrange lunch and prepare agenda. Attend, take minutes, prepare and distribute minutes, follow up on action items.
  • SharePoint: create and maintain Intranet web page with support from the designated PIM and ICT Designates.
  • Prepare and process routine documents, prepare reports / studies, responsible for preparation and coordination of key documents. Arrange for printing of documents as required with 3rd party printing company.
  • Travel book, distribute itineraries & resolve issues.
  • Reception relief.
  • Lend support to Lead Project Assistant when required and/or other project assistants as needed.
  • Safety Near miss forms, first aid training, where to find the first aid kit and building evacuation procedures. Safety is everyone’s business.

Job Requirements:

  • Experience in a similar/equivalent role.
  • Intermediate proficiency in Word and Advance in Outlook required.
  • Sharepoint Administration (as custodian/designer) a plus.
  • Proven time management, attention to detail & organizational skills.
  • Strong interpersonal & communication skills.
  • Capable of working independently.
  • Customer service focus.
  • Maintains strict confidentiality.

Reporting and Location:

  • This position is located in Edmonton, Alberta.
  • Position reports to the Department Manager of Administrative Services.
