Proposal Coordinator Job in Surrey, British Columbia Canada

Corix Infrastructure has an immediate opening for a ProposalCoordinator position in the Surrey office. This position requires the ability to balance multiple priorities, changing deadlines, and supporting business development teams in a fast paced environment. Attention to detail and accuracy is essential. You must be a strong team player with excellent communication skills who routinely demonstrates initiative, has the ability to work independently or as part of a team, and enjoy using the written word to express ideas and convey information.

Duties and Responsibilities:

This full time position will provide effective and efficient administrative services and writing assistance in support of the business development group. This position involves preparing responses to formal requests such as EOI, RFP, RFQ, RFI, and Tenders; and working closely with senior management to create client-focused proposals, presentations and other sales-related documents. This position reports to the Proposal Manager and will be self-sufficient with limited support assistance; must be comfortable working under tight submission deadlines with some evening or weekend time required.

Proposal Planning

  • Analyses bid/proposal requirements and prepares outline and schedule for proposal production
  • Obtains technical input from technical staff, subject matter experts and outside partners
  • Familiarization with existing internal and external content, references, graphics, and data sources in bids/proposals library
  • Leverages past work, proposals, and research by reusing information from similar proposals
  • Adds to the knowledge base of reusable content (compiles and writes project experience, corporate profiles, key staff profiles, resumes, etc.)
  • Helps maintain and update shared electronic directory of bid/proposal data
  • Liaise with consultants, regional staff, and other stakeholders to coordinate and develop proposal content
  • Ensures high quality preparation and production of all materials, while consistently applying the Corix brand and key messaging

Proposal Coordination

  • Maintenance of a proposal database containing final versions of all proposals submitted
  • Communicates bid/proposal status information to bid/proposal teams
  • Monitors and circulates addendum if any
  • Determines production requirements and schedule
  • Monitors incorporation of input from proposal review teams
  • Ensure proposal materials are properly sourced and maintained
  • Coordinates escalations and approvals needed from Management
  • Coordinates with Legal, Insurance and Finance to ensure proposal requirements are met

Proposal Production

  • Manages the assignment, collection and organization of proposal content from multiple sources, people and organizations into cohesive documents
  • Performs document formatting and proofreading including editing, spelling, grammar, document flow
  • Ensures sufficient supplies are available to support production requirements
  • Perform document printing and binding, and generating CD copies
  • Ensures completion of shipping and/or electronic submittal requirements

Meeting Coordination

  • Arranges meetings and conference calls
  • Generates agendas and meeting minutes
  • Tracks and follows up on meeting action items

Qualifications:

  • At least 3 to 5 years of high level executive administration experience in a fast-paced environment
  • A diploma or degree in business is preferred; a combination of academic and practical experience will be considered
  • Experience coordinating corporate proposals
  • Highly developed / advanced word processing skills and proficiency in Microsoft Office suite
  • Superior writing and copy editing skills for format, style, grammar, spelling, punctuation and proofreading
  • Excellent organizational skills: ability to prioritize, handle competing tasks and thrive on meeting urgent deadlines in a fast paced environment
  • Demonstrated ability to work independently as well as collaboratively in a team environment
  • Outstanding verbal communication skills
  • Working knowledge of Microsoft Projects and Visio would be an asset
  • Experience within the professional services industry, such as engineering, utility, architectural, law or accounting firms an asset
