Receptionist-Office Administration Job in Calgary

Job Description

This Receptionist/Office administrator provides secretarial, clerical and administrative support that assist in insuring administrative services in an effective and efficient manner. It offers a variety of tasks to include filing, telephones, data entry, processing invoices, basic understanding of math and working with numbers. You must be a self starter who enjoys helping others and like a busy environment. Customer service skill are required, being able to multi task is essential and ability to prioritize. Training will be offered to the enthusiastic candidate.

Responsibilities:

  • Work in administration, data entry and maintenance of documents, and payment tracking
  • Process cash sales (visa, master card, debit and cash transactions)
  • Prepare, review, sort, code and total cheques and direct deposits, visa master card, debit and cash. Enter into company accounts receivable system for reconciliation
  • Issue and process invoices, using in-house systems and fax/email paperwork for direct shipments as requested from Warehouse and other branches
  • Sort entered A/P invoices in weekly folders. Transfer the data from the packing slips to company utilized software. Print and review payment list, request invoice printing, sort and distribute daily reports
  • Handle incoming calls and email requests for MTR’s
  • Assist team members with department projects and tasks as needed
  • Provide superior customer service when dealing with internal and external stakeholders
  • Other duties as requested/directed

Education and Experience:

  • Administration experience an asset
  • Completed Grade 12 with some Post Secondary education

Requirements:

  • Intermediate proficiency with MS Office (Excel, Word, and Outlook)
  • Ability to learn and adapt to changing systems and new technology and procedures
  • Effective listening and communication skills with superior telephone etiquette
  • Accuracy and attention to detail
  • Effective organizational and planning skills
  • Ability to work independently and help Associates in a team environment
  • Ability to multi-task and prioritize (excellent time-management skills)
  • Demonstrate a positive attitude, enthusiasm and ability to appropriately handle stress
  • Ability to maintain confidentiality and process information with due care
  • Very self motivated with the ability to see what works needs done in a busy environment
